Application
These portal terms apply to new subscription contracts accepted on or after 2 November 2026 where they are included in the order. Existing contracts are not changed retrospectively by publishing this page.
1 Separate order details
Your portal order names the contracting supplier, policy library and supported service, permitted users, functionality, support included, activation date, billing dates, recurring VAT-inclusive price, minimum term, total minimum commitment and cancellation route. The accepted order identifies the consultancy and portal elements and the terms applying to each. A GoCardless mandate authorises payment collection; it does not replace the agreed service contract.
2 Published commercial structure
The approved portal choices have a twelve-month or twenty-four-month minimum term and no setup fee. The accepted order states the monthly VAT-inclusive price, start and end dates and total minimum-term commitment. Monthly instalments are the payment schedule for that fixed commitment; the plan is not a cancellable monthly contract during its minimum term. For business clients, ceasing use, giving ordinary cancellation notice or cancelling a Direct Debit does not by itself release the remaining minimum-term fees. This is subject to any legal right to terminate, our breach or a written release agreed by us. We continue making the contracted portal service available through the relevant paid term, subject to lawful suspension and the agreed service conditions. After the minimum term, the portal continues on a rolling monthly basis until ended on one calendar month’s notice, with no new fixed minimum term unless expressly agreed.
3 Cancellation requests
Send subscription cancellation or non-renewal notice to help@360compliance.co.uk from an authorised contact, stating the account/business name and subscription reference. One calendar month’s notice is required, not merely stopping portal use or a Direct Debit. The end date is the later of the minimum-term expiry date and the date one calendar month after the email reaches us. Notice can be served during the minimum term so that the subscription ends on its expiry date if at least one calendar month is given. For example, notice received on 10 March for a rolling subscription takes effect on 10 April; if the corresponding date does not exist in the following month, use that month’s last day. We confirm the end date, final amount and access end date by email. Our acknowledgement is not a condition for an otherwise valid notice. Where the final period is shorter than a full paid month, our policy prorates that period and refunds or credits overpayment; it does not silently extend the notice to an additional whole billing month. Statutory consumer rights to an earlier end or another notice route take priority.
4 Early termination and rights
Business clients commit to the full agreed portal minimum-term price. Unless a lawful termination right or written release applies, the remaining fees stay payable on the agreed instalment dates even if the client stops using the service or asks to leave early. We do not automatically accelerate all instalments into an immediate collection without a separately agreed lawful basis and the required payment notices. Any agreed early-release settlement is documented, avoids double recovery and is subject to applicable law. For consumers, the disclosed minimum-term commitment is subject to cooling-off rights, remedies for our breach and statutory fairness rules. Any consumer early-exit charge is limited to what is fair and legally recoverable, taking account of saved costs and mitigation; no provision requires a consumer to pay an unfair cancellation charge. Direct Debit and statutory refund rights are unaffected. Non-payment and cancellation requests must be assessed under the correct contract, rather than automatically treated as consent to a new charge.
5 Access updates and renewals
State any required device or browser compatibility, account limits, maintenance arrangements and security requirements before ordering. Protect logins and permit use only by authorised users. Explain how customers retain permitted copies and what happens to portal access and updates on termination. Price changes apply only on the notice and acceptance basis set out in the schedule, with a fair opportunity to end before an increase takes effect; do not assume a right to change a fixed-term price unilaterally.
6 Consumer cancellation rights
Consumer cooling-off rights, remedies for breach, fairness requirements and any other mandatory subscription rights take priority over conflicting contractual wording. Required pre-contract information, consents and notices will be supplied for the actual contract. Immediate digital-content supply does not remove cancellation rights for separately supplied consultancy or ongoing services. Any applicable statutory right to end online or through another permitted method remains available.
7 Retainer support
The separately offered compliance retainer has no minimum term . Its accepted schedule states the included support and monthly charge. Unless a different lawful arrangement is expressly agreed, its cancellation policy ends it at the end of the current paid billing period, subject to consumer rights. The portal’s one-calendar-month notice and twelve- or twenty-four-month commitment do not apply to a different retainer product.
